Employment verification letters in the United States

No federal law sets a form for an employment verification letter; the company writes its own, usually on its letterhead. This page prints the employee's name, position, dates or that they are still employed, full- or part-time, the purpose, and the person signing.

Pay is printed only when the employee has agreed to share it. Form I-9 is a different document: the employer's check of a new hire's right to work, not a letter for the employee.

A form to fill in, not legal or tax advice. The company is responsible for what the certificate states; the office it is for may ask for its own form.

Quick questions

What should an employment verification letter include?

The employee's name, job title, start date and end date (or that they are still employed), whether they are full- or part-time, the purpose, and the person signing for the company, usually on letterhead.

Does an employment verification letter have to show salary?

No. Pay is printed only when the employee has agreed to share it.

Is an employment verification letter the same as Form I-9?

No. Form I-9 is the employer's check of a new hire's right to work, not a letter for the employee.
